Where is my order, answered without you

It is the single most common message any shop receives, it is almost never interesting, and it arrives at the worst times. Most of these questions are answerable from your own shipping policy, and the rest need a connection to your order system.

Is this you?

The questions below are the ones customers actually type.

Online shops shipping stocked goods

Most 'where is my order' messages arrive inside the normal dispatch window, before there is anything to report.

  • I ordered on Tuesday, when will it ship?
  • Do you ship on weekends?
  • Is tracking included on standard delivery?
  • It says delivered but nothing arrived.

Dispatch windows, carrier timings and the not-arrived process are answered from your shipping page. What remains is the genuinely unusual case, which is the only kind worth your attention.

Made-to-order and custom manufacturing

Production time is the question, not shipping, and customers have no idea where in the queue they sit.

  • How long until my piece goes into production?
  • Can I still change the fabric?
  • Does the eight-week lead time include delivery?

Lead times and the point at which changes close are explained clearly, which is what most of these messages are really asking.

Meal kits and perishable subscriptions

Delivery timing is urgent in a way it is not for other goods, and the questions cluster around cut-offs.

  • What time is the cut-off to change this week's box?
  • Can I pause next week?
  • What happens if I'm not in?

Cut-offs, pauses and the missed-delivery process are answered instantly, at the hour people actually think about them.

B2B wholesale and trade supply

Buyers chase against purchase order numbers and expect a specific answer, not a policy.

  • Has PO 4471 shipped?
  • Can you split the delivery across two sites?
  • What is your standard lead time on trade orders?

Policy questions are handled, and a custom action against your own system can answer against a specific reference if you have an endpoint for it.

What it does

  • Answers the policy questions immediatelyDispatch windows, carrier options, weekend handling, what to do if tracking says delivered. This is most of the volume.
  • Reaches your own order system through a custom actionIf you have an endpoint that returns a status for an order reference, a custom action can call it and the agent answers with the real state.
  • Escalates the genuine problemsA lost parcel or a damaged delivery is a conversation for a person, and it reaches you with the order reference already collected.
  • Answers in WhatsApp, where these questions actually arriveThis is the message people send at nine in the evening from their phone, not from your contact form.

Setting it up

  1. 1
Make your shipping policy a readable pageDispatch times, carriers, cut-offs, what happens when something goes missing. This single page handles the majority of these messages.
  2. 2
Decide what needs a personLost, damaged and delivered-but-missing are usually worth escalating with the order reference attached.
  3. 3
Add a custom action if you need real statusesThis is the part that needs an endpoint on your side. Without it the agent answers from policy rather than from your database.

What it does not do

  • There is no built-in order lookup — real order statuses need a custom action pointing at your own system
  • It does not read carrier tracking APIs directly
  • It cannot issue refunds, cancel orders or generate return labels

Questions

Can it look up my customer's actual order?
Only through a custom action pointing at your own system. There is no built-in order lookup. Without that connection it answers from your shipping policy, which covers most of these messages but not a specific order's status.
Does the Shopify integration cover order status?
The Shopify integration covers products and the shopper's cart, not order history. Order status needs a custom action against your own endpoint.
How much of this volume can it really take?
The share that is answerable from your shipping policy, which for most shops is the majority. Look through last month's messages and count how many were asking about the process rather than about a specific parcel.
