Answer what people ask before they book

Very few people book without asking something first: what it costs, whether you take their insurance, how long it takes, whether you can see them this week. Answering those instantly is what turns an enquiry into an appointment.

Dental and medical clinics

Reception spends the morning on the phone answering the same four questions, while patients who called at lunchtime go to the practice that picked up.

Some enquiries are genuinely urgent and some can wait a week, and telling them apart is the whole job.

Routine questions are answered and urgent ones are escalated to a human immediately, which is the distinction that matters most here.

Tutors, coaches and training providers

Enquiries hinge on specifics — the exact syllabus, the level, whether sessions are online — that a generic page never covers.

What it does not do

  • It does not write into Google Calendar, Calendly or a practice management system on its own — that needs a custom action pointing at your booking API
  • It cannot see live availability unless your system exposes it, so it answers from your stated policy rather than from a real diary
  • It does not take payment or deposits

Questions

Does it book straight into my calendar?
Not by itself. There is no built-in calendar integration. It answers the questions that precede a booking and captures the request with the details attached; if you have a booking API, a custom action can post into it.
Can it tell someone what slots are free?
Only what you have told it in writing, such as typical lead times or which days a service runs. It does not read a live diary unless your own system exposes one for a custom action to call.
What happens with an urgent enquiry?
You define what counts as urgent and those conversations escalate to a person immediately. For a vet or a clinic this is the most important thing to set up, and it should be the first rule you write.
