For a cleaner, a caterer or a bakery, the Sheet is usually the most accurate record in the business. Prices and service areas change there first, and then someone retypes them into a reply, sometimes from an older copy.

- Docs keep their structure. Headings and lists in a Google Doc come across intact, so a cancellation policy reads the way you wrote it.
- Sheets come across row by row. The agent can match a question to the right row: the right service, size, postcode or price.
- No Google sign-in. ClerkChat reads the file through its share link. There is no Google account to connect and nothing to authorise.
What works well in a Doc or Sheet
Anything you keep current in one place and get asked about every day. If it changes weekly, it belongs in a Sheet, not in a chatbot's settings.
Price lists and service menus
One row per service, with sizes, durations and prices in their own columns.

Regular hours plus the bank holidays and the week you are away in August.

What Google Docs and Sheets import does not do
- The file must be shared as Anyone with the link, Viewer, or published to the web. Private files cannot be read, and you will see an error saying so.
- It does not re-read the file on its own. Every plan can import files, but reprocessing a completed import requires a paid plan. After you change prices, reprocess the source from Sources on a paid plan so the agent has the new numbers.
- One link reads one tab of a Sheet: the tab the link points to, or the first one. Add a link per tab if you need several.
- It is not a booking system. The agent can tell a customer your prices and hours, not reserve a slot from a Sheet.
- Word documents are not supported. Excel, CSV and PDF files can be uploaded directly instead.
