50 WhatsApp Auto-Reply Templates for Offline Businesses

ClerkChat · Sep 2, 2026 · 9 min read

If you run a plumber van, HVAC truck, clinic desk, restaurant, salon, or shop, customers will message WhatsApp at the worst times. The free WhatsApp Business app can send a greeting on first contact, an away message when you are closed or on a job, and up to 50 quick replies you tap in during a chat. Below are 50 short, copy-paste templates built for offline work. Swap the brackets, set your real hours in the business profile, and test a send to yourself.

The buyer problem is simple. You cannot type while under a sink, mid-service, or after close. Vague "we will get back soon" replies create repeat pings and lost jobs. Good auto-replies do three jobs: confirm the message landed, set when you will answer, and give one clear next step (call for emergency, leave address and photos, browse menu, request a slot).

How the free app tools actually work

Complete your business profile first (hours, address or service area, category, description). Hours power the "outside business hours" away option. Greeting messages fire for new chats or after 14 days quiet. Away messages fire on a schedule you choose. Quick replies are manual shortcuts (max 50) you insert with a / shortcut. Official setup paths live under Tools in the app. Device needs internet for greeting and away to send. Details and recipient filters are covered in WhatsApp’s own guides for greeting messages, away messages, and quick replies.

Keep each message short (a few sentences). Be honest on timing. For true emergencies (no heat, active leak, medical urgency), push people to a phone number. Clinics should avoid collecting sensitive detail in chat. The free app is one-phone friendly. If you later need multi-agent inbox, richer automation, or answers grounded in your own site and docs across channels, that is a different tier of tool. For most solo and small offline teams, these templates plus a filled profile are enough to start.

What breaks and what to watch

Greeting and away only send if the phone is online. Quick replies do not fire by themselves. You still tap them. Do not promise "instant always" if you are a one-person crew. Overlong promo walls in auto-replies feel spammy and get ignored. Catalog items and any later API message templates must follow WhatsApp policies. If you outgrow the phone app (team inbox, after-hours coverage without a shared handset, or proactive messages outside the customer care window), you will look at the WhatsApp Business Platform. That path uses pre-approved message templates and usage-based pricing, which is a different cost and setup model than the free app.

Decision framework and next step

Start tonight with three pieces only: accurate profile hours, one honest greeting, one away message for outside hours. Add /hours, /address or /servicearea, /emergency or /book, and /payment as your first quick replies. Each week, turn one repeated question into a new quick reply until you near the 50 cap. Use labels (New, Booked, Follow-up) so chats do not vanish.

Pick templates that match how you actually work. A plumber needs emergency routing and photo intake more than a boutique does. A clinic needs clear "not for emergencies" language. A restaurant needs menu and reservation paths. After a few days, read what customers still ask and tighten the copy.

Open WhatsApp Business, finish the profile, paste greeting and away from the lists above, save five quick replies, and send a test from a second phone. That single hour cuts the "did they see it?" stress the next time you are on a job or closed.
